Attendee Movement Manager – Large Conference Operations

Department: Enablement - Impact Team
Location: Remote

FLSA: Exempt

Dates: July 1 – Dec 31, 2021

 

This is a part time temporary contract position, average of 20 hours per week but variable and ramping up to the event. 4 days onsite for a site visit and 10 days onsite for the event. 

 

General Description: Responsible for leading large-scale attendee movement strategies, transportation solutions and vendor management. This will include facilitating the overall planning process and project management with the team, partners, and enterprise clients. Critical skills in this position include understanding event cycles with strong conference operational experience, management of various modes of transportation and people flow event components, financial management, excellent verbal and written communication, data management and collaboration across internal and external teams.

  • Manage all elements of transportation (shuttles, ride share, walking, monorail) includes technology integration, budget negotiations and collaboration, alternative transportation solutions, line management, attendee flow, overall integration in the larger event, and all guest experience surrounding transportation before getting on the bus to stepping off the bus
  • Creates meeting agendas, collaborating with other team members, facilitates meetings, takes notes and distributes them post-meeting, including action items assigned by person
  • Collaborate with transportation vendor, who handles all bus allocation, routing, dispatching, GPS tracking, ridership counts
  • Owns specific components/deliverables for the event and drives them to fruition utilizing Opus best practices, appropriate resources, and vendors, all while managing tasks within appropriate amount of time allotted
  • Utilizes internal resources, including coworkers, managers and seasoned experts to ask for help, direction, escalate when there is an issue, and always collaborates
  • Provides proactive consultation with clients and Opus teammates and manages expectations on the timing of deliverables
    • Collaborates with senior leaders to ensure that the consultation and recommendations are in line with what makes the most sense

  • 8+ years of experience producing events, which includes hands-on, large-scale, core event logistics
  • Understand transportation industry norms such as:
    • Vendor Management & Collaboration
    • Multi-modal solutions – RideShare, Taxis, Trams/Monorails, etc.
    • Logistics integration – signage, line queuing, staffing, etc.
  • Budget management experience with direct financial responsibility, ownership, and accountability to others. At the senior manager level, budget experience should be between at or over $500k
  • Strong computer and technology skills, especially Excel, Outlook, and Word

Physical Requirements:  Remote home office.  Individuals will be required to travel via airplane, train, taxi, care and/or other means of transportation as needed.
